Summary/Objective

The Clinic Administrative Assistant (CAA) at Richmond Animal League’s (RAL) Loving Spay+Neuter Clinic (LSNC) serves as a friendly and knowledgeable point of contact for shelter/rescue partners, community cat caretakers, and public pet owners seeking access to high-quality, low- cost spay and neuter services. The CAA is responsible for efficient scheduling, patient check-in and discharge, payment processing, and maintaining a clean, welcoming facility. The CAA reports directly to the Veterinarian-In-Charge (VIC).

Essential Functions

Client Services

  • Ensure a positive customer experience for all clients and partners

  • Manage client relationships

  • Provide timely responses to clinic emails, texts, and phone calls

  • Schedule appointments

  • Maintain an organized and clean facility

Daily Clinic Operations

  • Open the Clinic at the beginning of the day

  • Lead patient check-in

  • Ensure all paperwork is turned in and complete; assist clients as needed

  • Oversee the creation of ID tags and cage cards

  • Create patient and client accounts in the software system and accurately enter data and services

  • Schedule appointment reminders

  • Collect payment from clients

  • Maintain office supplies

  • Coordinate patient discharge

  • Keep a clean and welcoming space

  • Secure the Clinic at the end of the day

Work Environment

This is primarily a front-office, public-facing position. The Clinic is a high noise area, and the CAA will be exposed to cleaning chemicals, fumes, dust, and animal urine and feces. There is potential for exposure to animal bites and scratches.

Physical Demands

The CAA must be able to sit or stand for several hours at a time; work at a computer and type; walk; have a full range of motion for animal handling; and lift up to 20 pounds without assistance.

Position Type/Expected hours of Work

This is a full-time position with 40 hours per week (schedule to be determined) with a one-hour lunch (unpaid), Monday-Friday. Regular, predictable, and reliable attendance is an essential function of this position.

Required Qualifications

  • High School Diploma or equivalent

  • Proficient in word processing and spreadsheet software

  • Experience working in a veterinary clinic or animal shelter setting

Preferred Education and Experience

  • 2-year associate degree or a bachelor’s degree

  • Experience in customer service

  • Conversant in Spanish
